We?re looking for an Executive Assistant to join our team!
Location: Remote ? Preferably based in Venezuela (candidates from anywhere in Latin America are welcome)
Schedule: Monday to Friday during Panama/Miami business hours, with occasional overtime as needed

Who we?re looking for:
We need an organized, proactive, autonomous, and reliable individual to serve as Executive Assistant, providing direct support to our C-level executives and assisting the finance, sales, legal, and technology teams. This role is critical to maintaining order, clear communication, and efficient execution across all company projects.
Responsibilities:
-Provide direct support to executives (managing calendars, organizing meetings, sending reminders, drafting meeting minutes)
- Coordinate deliverables and tasks with the development team (tracking deadlines, sending invites, facilitating meetings)
- Support industry events (scheduling, liaising with participants, handling remote logistics, post-event follow-up)
- Assist the finance department (payment reminders, account reconciliation, coordination with financial team)
- Support the sales team (tracking partnerships, contract management, liaising with vendors/clients)
- Maintain and organize documentation in Google Drive (file management, legal document storage)
- Monitor and coordinate secondary projects led by executives, including scheduling, progress tracking, and task management
- Draft and respond to emails and internal communications;handle B2B correspondence
- Actively use communication platforms such as WhatsApp, Telegram, Microsoft Teams, and Gmail
- Manage and track tasks using tools like Google Tasks or other productivity apps
General Administrative Duties:
- Create reports and presentations
- Draft meeting minutes
- Coordinate calls and video conferences
- Support legal documentation and version control
- Track outstanding tasks across departments
Requirements:
- Based in Venezuela (preferred) or elsewhere in Latin America
- English: intermediate to advanced (mandatory)
- Previous experience as an virtual assistant, ideally supporting CEOs or senior executives
- Expert user of Google Workspace (Sheets, Calendar, Drive, Gmail)
- Professional writing skills with impeccable grammar and spelling
- Highly self-motivated, proactive, and discreet
- Available to work Panama/Miami hours, with occasional overtime
- Familiarity with task-management tools (Asana, ClickUp, Tasks, etc.)
Nice to Have:
- Prior customer-service experience (preferably B2B)
- Knowledge of telecommunications (SMS, voice, mobile top-ups)
- Experience handling commercial contracts and basic legal support
